Departments and an org chart online

Build your org structure with as many levels as you need — departments, teams, reporting lines and roles — kept current automatically when someone is hired, promoted or leaves.

As the team grows, “who reports to whom” gets hard to track in spreadsheets: hand-drawn org charts that go stale in weeks, managers unsure who is on their team, leave approvals sent to the wrong person. 4mystaff models your org structure with unlimited hierarchy — company, divisions, departments, teams — and keeps it current from employee records. Each person has a role, a direct manager and a department; when you hire, promote or move someone, the org chart and approval flows update themselves. You instantly see headcount per department, open positions and reporting lines.

  • Unlimited hierarchy: company → divisions → departments → teams, with as many levels as you need.
  • Visual org chart generated automatically from employee records — no manual diagram to maintain.
  • Reporting lines: each employee has a direct manager, used to route leave approvals and reviews.
  • Roles and positions: define posts with attached job descriptions, mark open positions and planned headcount.
  • Multiple companies / sites: separate structures per entity, all visible in one account.
  • Headcount and structure reports: employees per department, span of control, turnover.
  • Painless reorganisations: move a team under a different manager and all approvals re-route automatically.
  • Role-controlled visibility: managers see only their own structure, HR sees the whole company.

An org chart that never goes stale

The difference from a hand-drawn file is that the 4mystaff org chart is a consequence of the data, not a separate document. Each employee’s file holds a department and a direct manager; the org chart is simply the visualisation of those links. When someone is hired, promoted or leaves, the structure reflects the change the same day. So the chart is always the source of truth — used by HR for reporting, by managers to see their team, and by the system to know who a leave request should go to.

Reporting lines that drive workflows

The structure isn’t just decorative — it determines how approvals flow. When an employee files a leave request, it automatically goes to their direct manager from the org chart; a performance review involves the line manager; an attendance report is visible to the department head. You define who reports to whom once, and the rest of the platform respects those rules. At reorganisations, you move a team under a different manager and every flow updates with no extra setup.

Multiple companies, sites and matrix structures

Firms with several companies or sites can model separate structures in the same account — each entity with its own departments and managers. For matrix organisations (an employee reporting functionally to one person and administratively to another), you can define secondary managers for cases where approval must involve both lines. Visibility stays controlled: a manager at one site doesn’t automatically see employees at another unless explicitly granted.

Headcount planning and structure metrics

Beyond the current structure, the org chart supports planning: you mark open positions and approved headcount per department to see where you are hiring and what the planned structure costs. Structure metrics — employees per department, each manager’s span of control, headcount trend over time — are available without Excel exports. These data support reorganisation decisions and headcount budgeting with the finance team.

Frequently asked questions

How many hierarchy levels can I define in the org chart?

Unlimited. You can model company, divisions, departments, teams and sub-teams across as many levels as you need. The chart is generated visually from these relationships, with no manual drawing.

Does the org chart update itself when I hire someone?

Yes. The org chart visualises the data in employee records. When you add an employee and set their department and direct manager, they appear in the structure immediately. On promotion, move or termination, the structure reflects the change the same day.

Can I manage multiple companies in the same account?

Yes. Firms with several entities or sites model separate structures for each, all visible in one account. Each company has its own departments, managers and access rules.

How does the org chart help with leave approval?

The reporting lines in the org chart determine who a leave request goes to for approval — the employee’s direct manager. You define who reports to whom once, and requests route automatically, with no separate setup in the leave module.

Are matrix relationships (two managers) possible?

Yes. Besides the direct manager, you can define secondary managers for cases where an employee reports functionally to one person and administratively to another, and certain approvals involve both lines.

Who can see the whole org chart?

Visibility is role-controlled. HR and admins see the whole company; a manager sees, by default, only their own structure and team. Extra rights can be granted explicitly where needed.
