Skills and qualifications records

Diplomas, certificates and training records kept in each employee’s digital file — so you can see at a glance who is qualified for which role or shift.

When qualifications live in binders and email attachments, nobody can answer simple questions quickly: who holds the certificate a role requires, whose training records are missing, who can cover a shift that needs a specific qualification. 4mystaff keeps these documents in each employee’s digital file, next to the contract and job description. Managers see the records of their own team, HR sees the whole company, and you can consult them when planning shifts or preparing for an inspection. 4mystaff does not run automated performance reviews or scoring — the records support your own decisions.

  • Diplomas, certificates and qualifications stored in each employee’s digital file, dated.
  • Training records kept per employee, including health-and-safety training.
  • Job descriptions attached to each role, so expected duties are documented.
  • Role-based access: managers see their own team’s records, HR sees the whole company.
  • Qualification records at hand when planning shifts, so the right people are scheduled.
  • Notes from your own review meetings can be filed as documents in the employee’s file.
  • Documents follow the employee from hire to termination and stay in the file history.
  • Records ready to show at a labour inspection or an internal audit.

Qualifications in the employee file, not in a drawer

Each employee’s digital file holds the documents that show what they can do: diplomas, professional certificates, licences and training records. They sit alongside the contract and job description, dated, so you can check at any time what an employee holds against what the role requires. When someone changes role, the file already contains the history you need.

Training records and workplace safety

EU health-and-safety rules require employers to give workers adequate training, and many sectors add their own mandatory courses. In 4mystaff you file the training record in the employee’s file when the training takes place, so you can show who was trained and when. The same file is what you hand over at a labour inspection.

Who sees what

Qualification and training documents contain personal data, so access follows roles and permissions: an employee sees their own file, a manager sees their team per the org chart, HR sees the whole company. The records stay useful for planning without being exposed more widely than necessary.

Using the records in day-to-day decisions

Records are only useful if they are consulted. Managers can check their team’s qualifications when planning shifts or assigning work, and HR can see which documents are missing for whom. Decisions on promotion, pay or development remain yours: 4mystaff stores and organises the evidence; it does not score or rank people.

Frequently asked questions

What qualification documents can I store?

Diplomas, professional certificates, licences, training records and any other document that shows what an employee is qualified to do. They are stored in the employee’s digital file, dated, next to the contract and job description.

Does 4mystaff run performance reviews?

No. 4mystaff does not run automated reviews, scoring or goal tracking. You can file the documents from your own review meetings in the employee’s file, but the evaluation process itself stays with you.

Can managers see their team’s qualifications?

Yes, within their permissions. A manager sees the files of the people on their team, per the org chart; HR sees the whole company.

Do I need to keep training records?

Employers must give workers adequate health-and-safety training and, in practice, need to be able to show that it was given. National rules and sector regulations set the details. 4mystaff keeps the training record in each employee’s file.

Can I use qualifications when planning shifts?

Yes, as a reference: the manager can check the team’s records while building the shift plan, so people with the right qualifications are scheduled.

What happens to these records when an employee leaves?

They stay in the archived file with the rest of the employee’s documents, kept according to your retention policy.
