Time & attendance online

Clock in/out from the app or a terminal, the worked-hours report, overtime and exceptions — all in one monthly hours report.

Paper or spreadsheet timesheets turn, at month-end, into hours wasted on reconciliation and into errors in the hours reported. 4mystaff fully digitises time tracking: employees clock in and out from the mobile app, the web or a terminal at the site; the system automatically computes worked hours, overtime, night work and breaks, and flags exceptions (late arrivals, absences, schedule overruns). You plan shifts visually on a calendar and compare them against actual attendance. At month-end you export the approved monthly hours report to share with your accountant.

  • Clock in/out from the mobile app (with optional geofencing), the web, or a terminal at the site.
  • Worked-hours report computed automatically: regular hours, overtime, night work, breaks.
  • Exceptions flagged automatically: late arrivals, early leaves, absences, schedule overruns.
  • Visual shift planning on a calendar — fixed, rotating or flexible — compared against actual attendance.
  • Flags hours beyond the working-time limits you configure, including daily and weekly rest.
  • Time tracking for remote work and flexible schedules.
  • Manager approval of the timesheet before month-end close, with a change log.
  • Monthly hours report export (approved regular and overtime hours) to share with your accountant.

How attendance clocking works

Employees clock in and out in whatever way suits them: from the mobile app (with optional geofencing that confirms they are at the workplace), from the browser for office staff, or from a physical terminal at the site for production or retail teams. Each punch is recorded with a timestamp and, optionally, location, forming the attendance register. The system derives actual worked hours from these punches, with no manual calculation by the employee or manager.

Regular, overtime and night hours — computed correctly

Working-time rules set a normal daily and weekly duration, a maximum average weekly limit over a reference period and minimum daily and weekly rest; overtime is compensated as the law or your contracts provide, and night work or work on rest days and public holidays may have its own regime. 4mystaff applies the rules you configure to each employee’s timesheet: it separates regular from overtime hours, identifies night work and flags limit overruns — so the monthly hours report is correct from the start.

Shift planning and matching against actual attendance

For teams working in shifts (retail, hospitality, manufacturing, healthcare), you plan shifts visually on a calendar: assign employees to shifts, check coverage on each interval and avoid overlaps. Then you match the plan against actual attendance — you see at once who showed up for the scheduled shift, who was late and where a coverage gap appeared. This plan-vs-actual comparison is exactly what spreadsheet timesheets lack, and what makes the difference at a correct month-end close.

Exceptions, approval and the monthly report

Before closing the month, the manager reviews the exception list — late arrivals, unjustified absences, schedule overruns — and resolves them: approves overtime, links an absence to a leave request, corrects a missed punch (with the reason recorded). After approval, the timesheet becomes the reference for the month: you export the monthly hours report — regular and overtime hours — to share with your accountant. No more double entry and fewer disputes over hours.

Frequently asked questions

Is the employer required to keep a record of working hours?

Yes. Employers are generally required to record the hours each employee works and to make the record available to the authorities on request. 4mystaff builds this record automatically from attendance punches.

How is overtime calculated?

Overtime is work performed beyond the normal working time. How it is compensated — paid time off or a pay premium — depends on national law and your contracts. 4mystaff automatically separates regular from overtime hours and applies the compensation rules you configure.

Can I use time tracking for remote employees?

Yes. Working-time records apply to remote work too. Remote employees clock in and out from the app or web, and hours are computed just as for office staff. Flexible schedules are also supported.

How does the system prevent fake punches (from another location)?

On mobile you can enable geofencing, which allows clocking only when the employee is within the workplace perimeter. For fixed teams, the on-site terminal eliminates remote punching. Any manual correction of a punch is recorded with its reason.

What happens to the timesheet at month-end?

The manager approves the month’s timesheet (regular hours and overtime), resolves exceptions, then the monthly hours report is generated, ready to send to your accountant — with no manual re-entry.

Can I plan rotating shifts and check coverage?

Yes. You plan shifts visually on a calendar, assign employees to shifts and check coverage on each time interval. Then you match the plan against actual attendance to see late arrivals and coverage gaps.
