Security & access: roles and permissions

Roles and permissions decide who sees what in employee data — each person gets access to what their job requires, in line with GDPR.

Personnel data is among the most sensitive a company holds: salaries, medical records, personal data. Uncontrolled access to it is both a GDPR compliance risk and an internal risk. In 4mystaff, access is built on roles and permissions: you decide what an employee, a team manager, HR and an administrator can see and change, and a manager’s visibility follows the org chart. Sensitive categories, such as medical information, can be limited to the roles that need them. Security is not an add-on at the end — it is the foundation the rest of your HR records stand on.

  • Roles and permissions: employee, team manager, HR, admin, with visibility limited to their own structure.
  • Least privilege by default: each role sees only the data it needs for the job.
  • Managers see the people on their team, per the reporting lines in the org chart.
  • Employees see their own file, attendance and leave — not their colleagues’.
  • When an employee leaves, you deactivate their account and their access ends.
  • Restricted access to special data (medical, salary) — separate from the general file.
  • Permissions adjusted per person when a role needs more or less access.
  • Personnel data handled on GDPR principles: purpose limitation and need-to-know access.

Roles and permissions: each person sees exactly what they need, nothing more

Role-based access control (RBAC) is the principle 4mystaff is built on: you define roles — employee, team manager, HR, admin — and each role gets exactly the permissions it needs. An employee sees only their own file; a manager sees the people on their team, per the org chart; HR sees the whole company; the admin manages configuration. Highly sensitive data (salaries, medical information) carries an extra restriction level. This “least privilege” principle reduces the risk surface — no one has access to data they don’t need for the job.

Access that follows the org chart

Permissions are tied to your structure, not set up by hand for every person. A manager’s visibility comes from the reporting lines in the org chart, so when someone moves to a different team, what their new manager can see changes with them. Access stays aligned with who actually manages whom, without a separate list to maintain.

Joiners, movers and leavers

Access has to follow the employee’s lifecycle. A new hire gets the employee role; a promotion to team lead adds visibility over the new team; when someone leaves, you deactivate the account and their access ends, while their file stays archived for the retention period you apply. Reviewing who holds which role is part of keeping the data safe.

GDPR compliance: employees’ rights, in practice

GDPR gives employees concrete rights over their data — access, rectification, portability, erasure — and the firm must be able to honour them. Keeping personnel documents in one digital file per employee makes that practical: you can see what you hold about a person, correct it, and apply your retention policy per document type. Combined with roles and permissions, this helps you show that personnel data is handled on a need-to-know basis.

Frequently asked questions

What is RBAC and why does it matter for personnel data?

RBAC (Role-Based Access Control) means granting permissions based on each user’s role, on the least-privilege principle. For personnel data — salaries, files, leave — it means each person sees only what they need for the job, which reduces leak risk and supports GDPR requirements.

Which roles are available?

Employee, team manager, HR and administrator. Each role has its own permissions, and a manager’s visibility follows the org chart.

Can a manager see employees from other teams?

Not by default. A manager sees the people on their own team, per the reporting lines in the org chart. Wider access can be granted explicitly where needed.

How do we respond to an employee’s GDPR access request?

The employee’s documents are kept together in their digital file, so you can see what you hold about them and provide it. You also apply your retention policy and remove data that no longer has a processing basis.

Is employees’ medical data protected differently?

Yes. Sensitive categories, such as information from sick leave, have an extra restriction level, separate from the general file and visible only to authorised roles.

What happens to access when an employee leaves?

You deactivate the account and their access ends. Data remains archived per your retention policy but is no longer accessible to the former employee.
