Time tracking and HR: Distribution for Romania

Distribution puts two very different populations on one plan: warehouse staff on shifts and drivers whose driving time is regulated. 4mystaff handles both — clock-in per site, route and shift planning, overtime counters, and a working-time record that meets the EU Working Time Directive (2003/88/EC) before it is exported to payroll.

Warehouse and driver shift planning

Build rotating rosters for warehouse staff, pickers and drivers in one calendar, and cover absences before the shift starts. You see at a glance where tomorrow's dispatch runs short-staffed. Set up for Romania: working-time records follow Codul muncii (Legea 53/2003) — art. 119, evidența orelor de muncă prestate de fiecare salariat.

The “Warehouse and driver shift planning” flow keeps the hours, approvals and history you need for orele suplimentare (art. 122–123) și raportarea Revisal/REGES and for an inspection by Inspecția Muncii / ITM.

Multi-site clock-in

People clock in at the depot terminal, on a tablet or from their phone, and every hour lands against the right site. Managers get a single attendance record across all locations. Driving and rest hours

Driving time, breaks and daily rest are tracked per driver, with warnings before legal limits are exceeded. Records stay archived for labour inspections. Set up for Romania: working-time records follow Codul muncii (Legea 53/2003) — art. 119, evidența orelor de muncă prestate de fiecare salariat.

Overtime limits

Overtime is calculated per employee and flagged before the weekly ceiling is reached, so you decide between time off in lieu and a paid premium. Set up for Romania: working-time records follow Codul muncii (Legea 53/2003) — art. 119, evidența orelor de muncă prestate de fiecare salariat.

Attendance and cost reporting

Dashboards for hours worked, absences, overtime and labour cost per depot or route. Validated data exports straight to payroll. Set up for Romania: working-time records follow Codul muncii (Legea 53/2003) — art. 119, evidența orelor de muncă prestate de fiecare salariat.

Frequently asked questions

How do people who work across several warehouses clock in?

Clock-in is tied to the site: a terminal at the warehouse entrance, or the phone app with a position check at the moment of clocking. The report gives hours per location and per person, so nothing is double-counted when someone covers two sites in the same week.

How does drivers’ driving time fit with the staff time record?

They are two separate records that must reconcile. Driving time and breaks follow Regulation (EC) 561/2006 — nine hours of daily driving, extendable to ten twice a week, with a 45-minute break after four and a half hours — evidenced by the tachograph. The staff record covers the driver’s total working time including loading and waiting, and 4mystaff flags gaps between the two.

How do I keep overtime under the cap in peak months?

Total weekly working time is capped at a 48-hour average over the reference period (Directive 2003/88/EC art. 6 and 16), and mobile road-transport workers have their own rules under Directive 2002/15/EC. The per-person counter shows in the roster and the system refuses shifts that would push someone over.

What will a labour inspector ask for?

A record of the hours actually worked by each employee, day by day, with overtime shown separately, produced by an objective and reliable system — the standard set by the Court of Justice in C-55/18 (CCOO). 4mystaff produces the monthly per-employee report with the audit trail of every correction: who changed it, when and why.
